The 🚀 COMMAND CENTER is your master inventory grid. This is where you see every piece, edit in bulk, keep some pieces out of a store file, and export listings.

The layout

Left: SAVED SETS on top, then the search strip, the filter boxes, and the

selection buttons.

Middle: the table. The three bottom tabs sit under it: 🛠 PRODUCT EDITOR,

✨ DESCRIPTION & TAGS, and 📐 PRINT CONFIG. One panel shows at a time.

Right: the image preview, with three small tabs under it: 🧰 TOOLS,

🖼 ROOMS, and 🏁 FINISH.

Drag the splitter beside the sidebar or the one beside the preview to resize them. ARTVENTORY remembers where you left them.

Saved Sets

A saved set is a named selection you can come back to — the pieces for a show, a wall, a print run. Select the pieces (across any filter or search), click the N selected button to open the selection popup, then Save as new… and name it — the popup closes and a toast confirms Set 'Coastal' created — 12 pieces. Add to existing… appends the selection to a set you already have (Added 12 to 'Coastal'). Sets are listed under SAVED SETS at the top of the left column: click one to reload it (a banner above the table names it; its ✕ clears the selection), and ✕ beside a set deletes it. Sets are not store collections — the ⚙ beside the heading opens the Collections Manager for the collections your store groups pieces into.

Loading and refreshing

Open 🧰 TOOLS and click ⟳ Refresh inventory. Every refresh is a live re-read from your ARTVENTORY account — there is no cache to skip. The line under the button tells you how many artworks loaded.

Filtering and searching

Type in the SEARCH title, size, series... strip. Tick Search Tags Only to search

just the Tags field.

The pill row above the table is All, Available, and Sold.
The sidebar holds eleven filter boxes in four groups: Available and Type; Series,

Collection, Medium, Movement, Year, and Size Cat; Location; then Online and On hold. Each box shows its own name until you pick a value. Click Clear to reset them all.

A gallery workspace also shows an ARTIST filter beside the search strip.

Three views of the same pieces

The switch on the right of the pill row is ☰ List, # Count and ▦ Grid. It only changes how the pieces are drawn — it never changes your filters, your sort, or what is selected, and whatever you had selected is still selected when you come back.

☰ List is the table: one row per piece.
# Count is your print stock: one pool per piece × type × size × location, with the

Qty boxes you adjust. Its own row has the pool total, Sort, a Location box and Show zero stock. A pool you registered with a blank quantity has never been counted, so it is shown anyway and marked *not yet counted*, and the row reads for example 2 registered, not yet counted; pools you have counted down to zero stay behind Show zero stock.

▦ Grid is the same filtered pieces as thumbnails, with the title and size under

each one. Click a tile to select it, Cmd-click or Shift-click for more, or tick the tile's box; double-click to open the piece. Long lists draw the first 200 tiles with show more at the end.

The - 12pt + stepper on the stats bar sizes all three: the table's rows and text, the Count view's rows, and the Grid's tiles. ARTVENTORY remembers the size you set.

Bulk editing

Select rows: click, Cmd/Shift-click, or use ☑ Select All and ✖ Clear.
Open 🛠 PRODUCT EDITOR. The fields sit in three rows: Artist (gallery

workspaces), Type, and Movement / Style; then Title, Medium, Size, and Year; then Collection, Series, and 📍 Current Location (original).

Click ✓ APPLY at the end of the last row to save to your ARTVENTORY account.
The AVAILABILITY block on the right handles ORIGINAL / SOLD, FRAME,

FRAME TYPE, DEPTH, and PRICE OVERRIDE. Use APPLY TO SELECTED or CLEAR.

ONLINE and the export-hold switch live in the block's header.
Undo with ⌘Z and redo with ⌘⇧Z on a Mac (Ctrl+Z / Ctrl+Y on Windows).

Search from anywhere with ⌘K (Ctrl+K on Windows).

Holding a piece out of exports

Beside ONLINE, the switch reads Exportable or 🔒 On hold. A held piece is left out of every store file and every live store push. Nothing else changes — not availability, not the ONLINE label. Held pieces show 🔒 in the Flags column, the On hold filter finds them, and 🏁 FINISH counts them under On hold:.

Descriptions and tags

Open ✨ DESCRIPTION & TAGS. Edit the description and click ✓ Save. The 11pt control with − and + changes the editing font size. The TAG EDITOR adds a tag with + and removes one with −; those apply to the selection right away.

Quick View and history

Double-click a row to open its Quick View card. Edit the details and click 💾 Save Details. The HISTORY section lists every saved field change, newest first, with a ↶ Revert button on each row. Click ↻ to reload it.

Tools

The 🧰 TOOLS tab holds the things you do to a selection:

🔗 Pair Secondary Images — attach a second record's image to a primary record.
📋 Duplicate — copy the selected pieces as new records.
📦 Group Selected — group the selected rows as one piece and its variants.
🔄 Reprocess in the Factory — send the selection back to the Factory for AI work.
SKU GENERATION with ⚡ Generate and 🏷 SKU Settings.

🗑 Delete and 📍 Set Location sit with the selection buttons. Delete is a soft archive: the prompt says nothing is destroyed. Press ⌘Z right after to undo, or open Trash from the 🗑️ button in the app header to restore or delete for good.

Print config

📐 PRINT CONFIG never changes the view — it adds the print columns to the table and opens a panel with three modes: OFFERINGS, STOCK, and SIZES. The row above them names how many pieces are selected (pieces the filters hide are counted too) and holds the doors out: 📖 Editions Register, 📐 Size Ladder, and Price these in Pricing & Sales. Drag the divider above the panel to make it taller — it keeps that height for the session.

OFFERINGS is what someone can order printed on demand. One chip per print type: ● every

selected artwork offers it, ◐ some do, ○ none do. Clicking a chip writes the whole selection right away and a message names the change; ⌘Z undoes it. Turning a type on for a piece whose prints were switched off turns them back on. With one artwork selected the panel lists its sizes and Edit sizes jumps to SIZES. Disable print offerings… on the right is the way to switch prints off for the selection — it asks first.

STOCK is for the physical prints you have on a shelf, counted. See

Print Stock & Editions.

SIZES edits one artwork at a time. With none or several selected it says

Select one artwork to edit print sizes. With exactly one, SIZES AROUND THE ORIGINAL sits on top — Smaller and Larger steppers, Offer the original size too and ↻ Recalculate print sizes for the piece's shared size list — then a row for each print type the piece offers. A type priced by size shows its sizes (click one to remove it), its own − / + steppers and a W x H inches box with + Add. It follows the shared list (the row says shared) until you change its row; ↺ Use the shared list takes it back. A type priced by components or a flat price list shows the size it ships at, which is set in Pricing & Sales: + Add size → opens Original + Print there — in a gallery, on the piece's artist's pricing. A read-only line at the bottom says what an export would emit for the piece.

Exporting to your storefront

Filter and select the pieces you want to publish.
Open 🏁 FINISH. It shows Selected:, Exportable:, On hold:, and

ONLINE: counts for the selection.

Click EXPORT / SYNC to open Export Options. Pick a platform: Shopify,

Wix, Wix (older stores), Squarespace 7.1 (current), Squarespace 7.0 (classic), or Artsy (CSV + image files).

Tick Export as Draft or Add Collection & Series to Tags if you want them. Then

click Create store import file for the store's CSV, or Export product spreadsheet for a plain spreadsheet. With a connected store, Publish everything pushes it all live and Update only chosen fields… pushes just the fields you pick.

Quick Export (Last Settings) repeats your last export without the dialog. The

Last export: line shows when it ran.

📂 Collections Manager in FINISH manages your collections. 🧹 Clean up store — find orphans & duplicates… in the export dialog opens a dry run: review the list, Re-scan store if needed, then Apply cleanup.

Things to know

Your inventory lives in your ARTVENTORY account; the Google Sheet is an optional backup you own.

A held piece appears in the export report under its own reason, so nothing goes missing

silently.

CSV exports escape every text cell so nothing runs as a spreadsheet formula.
The Commission Split column (a gallery's share per piece) is hidden by default. Turn it

on from the ⚙ column picker.
